Aristata is a collection of integrated applications built on a single SQL database which securely distributes information through a web interface. As a result, all information is a few mouse-clicks away. Access to this information facilitates strategic decision making and timely execution which ultimately results in increased value for our clients.

  • Integrated management system allowing all authorized users electronic access to key documents (investment reports, legal agreements, tax returns, insurance policies, partnership agreements, proprietary presentations, etc.).
     

Search

  • Allows record location across the entire network searching by client, category, date range or specific application.
     

Communications (CRM)

  • Contacts and Activities: Full client relationship management (CRM) built specifically to track information and relationships specific to family office management. Integrates key contacts for each client in a seamless CRM system which also integrates with MS Outlook 2007. Allows the storage of all relevant contact information (email, phone, fax, cell, address, etc.) for future communications. Provides the ability to track and categorize all relevant activities and interactions with various individuals in the CRM.

  • Client Portfolios: Centralized database to document client investment policy statements, portfolio structure targets, current investments, and produce monthly and quarterly client reporting.
     
  • Manager Research: Centralized database to record all manager research activities including meeting notes, conversations, and full manager reviews for recommended investment strategies.
     
  • Private Investments: Tracks information relevant to direct private investments.
     

Family Office Applications

  • Click to enlargeAssets: Organizes client assets (real estate, automobiles, scheduled items, etc.) by ownership entity and stores key information related to each asset.
     
  • Banking & Credit: Tracks client banking activities and credit facilities including bank accounts, personal credit lines, mortgages, loans, and business/entity related credit facilities.
     
  • Estate Planning: Tracks detailed information for trusts including the trust’s trustors and trustees, remainder and income beneficiaries, funding history, distribution provisions, and termination provisions.
      
  • Gifting: Details personal gifting on an annual basis and tracks lifetime exclusion for each individual.
     
  • Human Resources: Tracks compensation, bonus, reviews and insurance information for clients’ employees. The information is separated by specific entities (Foundation, LLC, etc.).

  • Partnerships: Tracks operating businesses, assets and investment based partnerships. Legal information, ownership structure and management details are readily accessible in this application.
     
  • Philanthropy: Records charitable activities associated with family foundations, donor advised funds, personal gifting, etc. Tracks grant requests, gift status, funding history, required distributions, and future commitments.
     
  • Click to enlargeTax: Tracks tax return preparation process including all tasks and documents required to complete each tax return. Quarterly estimated tax payments, extensions and annual filings are scheduled in the task management system to insure all deadlines are met. Key information from completed tax returns, including payments, filing/extension dates, carry-forward amounts, and credits are documented. Completed returns are stored as documents for each tax year.
     

Security & Administration

     
  • Secure Access: Administrators can set permissions to grant access to clients, external advisors, and/or internal users at a detailed level to ensure users can view only information they have rights to view.
     
  • Customization: Users can customize page views in the application so that the most relevant information specific to each user is presented.
